1-Housekeeper / 2 positions - only Jordanians

OBJECTIVE OF THE POSITION:
Based in Amman, Under the direct responsibility of the Facility Officer , the Housekeeper is in charge of carrying out all the cleaning tasks for HI office and Guest houses and ensure a clean, tidy and healthy place for HI staff to work with the respect of HI policies and procedures
Hierarchical Relationships
Line manager: Facility Officer
Line manager+1: ASU Logistics Manager
RESPONSIBILITIES:
Responsibility 1: Cleaning of HI Office and Guesthouses
Activities:
  • Ensure all the offices, meeting rooms, the kitchen and toilets are clean, tidy and in good order.
  • Ensure that all the guesthouses, living rooms, bedrooms, kitchen & toilets are clean, tidy and in order
  • Do all the needed sweeping, mopping for offices and latrines.
  • Dust, damp wipe, wash or polish furniture, ledges, windowsills, external surfaces of
    cupboards.
  • Empty and clean rubbish bins on a daily basis and deposit rubbish in designated areas.
  • Inform the facility Officer about the needed materials in the kitchen, i.e.: tea, sugar, water ...etc., as well as the cleaning materials.
  • Clean the offices Windows at least once per month.
  • Prepare drinks for Guests/Visitors if requested.
  • Wash Kitchen’s items (Glasses, Mugs, Dishes, Spoons…etc.).

  • Be impeccable in terms of total discretion (internal and external) regarding the procedures, operations of Handicap International. Discretion is the watchword in this type of function and no exceptions will be tolerated
  • Be available depending on the tasks and the importance of work involved. Preventing hierarchy in advance in case of unavailability
  • Respect the hierarchical relationships specific to the organization
  • Be polite and courteous at all time, employees of Handicap international are the first representatives of the NGO vis-à-vis its partners, stakeholders or non-institutional organizations and they carry the image of Handicap International. Inappropriate or violent behaviour, even off-hours work, would hurt the image of the association.

THE SUCCESSFUL CANDIDATE will have:
  • Highschool degree
  • Minimum 2 years’ experience in the same level
  • Previous experience in NGO is a plus
  • Good in English
  • Good organization skills
  • Good oral ,written communication skills
  • Being self-motivated , focused and trust worthy
Initial contract will be for 1 year (renewable) and the position is based in Amman.
Basic salary range for the position:471 JOD –663 JOD (salary commensurate with experience and according to internal salary grid)

2-Facility /Front Desk Officer

OBJECTIVE OF THE POSITION:
Based in Amman, under the direct responsibility of the Amman Support Unit-Logistic Manager, the Logistics Officer will be in charge of the management of Front desk, HI Office, Guesthouses & Travel in support of the activities in Amman and the follow up of all HI procedures.
Hierarchical Relationships
Line manager: ASU-Logistics Manager
Line manager+1: Regional Logistics Manager
RESPONSIBILITIES:
Responsibility 1: In charge of the general services (office, storage facilities AND expatriate staff accommodation, ) (PRIMARY)
Aim: Keep the office running smoothly and provide the teams with comfortable working and living premises
Activities:
  • Make sure that the office is welcoming and inform the Logistic Manager in case of problems
  • Manage stock of office supplies (stationaries, cleaning products…) and maintains receipts, records, and withdrawals and reports when stock is low.
  • Define the needs and propose solutions in terms of premises and carrying out or ensuring the management of the fitting, servicing and maintenance of the premises
  • Ensure that Premises meet the minimum safety and security requirements and analyze the guarantees of insurance after seeking advice from the ASU-Logistics Manager.
  • Ensure collective rules for the use of the premises are applied.
  • Ensure the proper follow up of premises contracts
  • Ensure the maintenance of the guesthouses and office and liaison with respective land lords and ensure timely payment of rent.
  • Ensure that all staff housing and office premises meet the required health and safety standards to live and work in.
  • Ensure optimal use of available space at HI guesthouses to minimize accommodation costs to staff/visitors while in transit.
  • Ensure required supervision of all repairs and maintenance of HI office and guesthouse.
  • Coordinate payment of utility bills.
  • ensure HI offices and guesthouses have adequate safety equipments.
  • Ensure that Premises meet the minimum safety and security requirements and analyze the guarantees of insurance after seeking advice from the ASU Logistics Manager
  • Stock Management according to HI policies.

RESPONSIBILITY 2: FRONT DESK/RECEPTION (PRIMARY)
Aim: Provide secretarial and clerical support and ensure all services are provided in an effective and efficient manner.
Activities:
  • Serve visitors by greeting, welcoming, directing and announcing them appropriately.
  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Maintain security by following procedures and controlling access and report any unusual or suspicious persons or activities.
  • Re-direct calls as appropriate and take adequate messages when required.
  • Give any calls requested by HI staff members for various purposes as appointments booking, information collecting…
  • Send and receive all faxes
  • Maintain the general filing system and file all correspondence, distribute all incoming correspondences and parcels to the respective staff
Responsibility 3: Ensuring the correct management of equipment at office level (Primary)
Aim: To ensure the office has the means necessary for its smooth running
Activities:
  • Ensure that Equipment Management Policy is implemented, understood and respected.
  • Train/support (or supervise the training) users on how to properly use the equipment.
  • Ensure the installation, maintenance, monitoring and traceability of equipment (power-supply, communication etc).
  • Ensure that the documents related to equipment management are compliant with HI policy
  • Make sure that HI standard storage procedures are followed; ensure the quality procedures and control the stored goods.
  • Ensuring the physical management of stocks and storage facilities.
  • Apply equipment management procedures and written certification of each withdrawal of equipment from stock.
  • Ensure the use of and accurate update of the Equipment Monitoring Chart (EMC) and the quality of the data it contains
Responsibility 4:Support the respect of local legislation and legal framework at Regional Level (SECONDARY)
Aim:to secure HI's presence from a legal standpoint.
Activities:
  • Ensure the formalities required by government bodies are completed in time, ensure pro-active follow up of legal matters and inform management accordingly
  • Ensure that HI Office has all required documents
  • Ensure the programme's equipment and premises are correctly insured at national level

 


Responsibility 5: Organization of regional office seminar and meeting (Secondary)

Aim: Provide quality services and support in organising events to help the project team focus on the seminar topics
Activities:
  • Organize travel, visa and accommodation arrangement according to the travel plan/form, organize the welcoming of staff/guest in Amman, manage the guesthouse room vacancies and follow up the maintenance when needed.
  • Organize with the project team seminars and workshop arrangements (set up of the meeting room, meals, office supplies) and ensure travel arrangement and accommodation for each attendant
  • Ensuring the rent of venue or hotel, purchase of flight ticket through the travel agency, and preparing the eventual purchase file
Responsibility 6 : Procurement and supply chain Management (SECONDARY)
Aim: To cover the programme's needs for materials, equipment and services
Activities:
  • Make sure to always consider value for money having in mind quality and sustainability of the goods.
  • Implement procurement procedures for HI and organize different stages in the local purchasing of goods and services (market, surveys, ordering, monitoring, receipt, conformity checks etc)
  • Process the orders and ensure their follow-up and provide feedback to the applicant and inform the Regional Logistics Manager in case of problem.
  • Ensure the adequate filling of purchases files: signatures, presence and validity of the documents
  • Maintain well organized records of the orders according to the HI purchase procedures (PSR follow up)
  • Ensure payment to the suppliers in link with finance department according to the invoice brought by the purchaser and suppliers.
Responsibility 7 :MANAGE HIS TEAM
Aim: To develop the team’s autonomy and performance
Activities:
  • Manage and lead his team, fix objectives and assess the staff he/she line-manages
  • Train his/her team
  • Set up communication and coordination mechanisms for his/her team
  • Manage contractual monitoring (leave, end of trial periods, etc.) of the staff he/she line-manages; if necessary, co-validate disciplinary procedures with the Regional support services coordinator
  • Oversee his/her team's career development: define training needs and provide guidance on professional development
Note that this job description must remain flexible, to respond to additional tasks or changes as identified by the line manager.

  • Good technical skills in mechanics and IT
  • Previous experience in NGO
  • Fluent in English ,french is a plus
  • Good organization skills
  • Good oral ,written communication skills
  • Good negotiation skills.
  • Being self-motivated , focused and trust worthy
Initial contract will be for 1 year (renewable) and the position is based in Amman.
